To get started, log in to Kaizan via OAuth. Make sure to log in with your work email address!
When prompted, grant Kaizan access to your Calendar and Inbox. This activates your AI - Kaizan syncs with your inbox and calendar to join calls and collate all client communications in one place. Please check you have granted access to Email & Calendar at login.
This allows Kaizan's AI to organise your calls, email, and chat conversations automatically. Kaizan will populate your system using the last 30 days of emails.
Once signed in, Kaizan's AI will be scheduled to join different calls in your calendar depending on both your:
1) Org settings
Kaizan admins have access to the "Organisation Settings" in their app. From here, they are able to turn the AI assistant off for different types of calls.
Client calls = a call with a stakeholder who has a client email domain.
Internal calls = a call with colleagues who share your email domain.
Other meetings = non-client/internal calls.
2) User settings
This only affects an individual's AI controls, which they can access and configure from their profile. Here, you also have the option to turn the AI off by call type or meeting platform.
For more details, read this page: https://help.kaizan.ai/en/articles/11130643-controlling-removing-your-ai
Client calls and emails are then automatically assigned into their respective client folders by email domain - e.g. any interaction with a stakeholder from @kaizan.ai would move a call or email thread into the Kaizan client page.
All communication without a client domain will land in the private “Your Calls” or “Your Emails” section. Only you can see these calls/emails.
You can access this area of the app in the left-hand side menu panel.
