Controlling which calls Kaizan's meeting assistant joins

You decide which calls Kaizan’s Meeting Assistant joins. Here’s how you fine-tune its involvement.

There are a few ways you can do this:

1) Go to “My Profile”

  • In the top right of the app, you'll see a button saying "Welcome [Your Name]". Hit this button.

  • Here, you can toggle the Meeting Assistant ON or OFF for client, internal, or other calls.

  • You can also choose which platforms your Meeting Assistant joins - Teams, Google Meet, or Zoom.

2) Go to “Your Calendar”

  • Open the left panel and hit “Your Calendar”.

  • All meetings are identified as either being "With AI" or "Without AI". Green shaded meetings are "With AI" and yellow shaded are "Without AI".

  • If you’d prefer to keep Kaizan out of a specific meeting, just hit the red "Remove AI" box on the righthand side.

  • You can also multi-select meetings to remove the AI from numerous calls - select meetings by hitting the small tick box on the lefthand side and then hit the "Remove AI from selected" in the top right.

  • At the moment, you can’t remove the bot from a recurring meeting, but this feature will be coming soon!

  • Any meetings which have had the AI removed in advance, will feature this copy in the "Your Calendar" description: "AI Assistant was previously removed from the event".

3) “Send AI to Call”

  • Need Kaizan on a call that wasn’t scheduled in your calendar? Click “Send AI to Call” in the top right and enter the meeting URL.

  • If the call is already happening, your Kaizan meeting assistant will join c.20 seconds later, otherwise it will join at the scheduled start time.

4) Removing the AI from a Specific Client

You can also remove the AI bot from specific client calls.

Go to the client page, hit the light blue "Edit" button. From here, scroll down to "Bots join meetings" and toggle this option to turn the bot ON/OFF. Then, hit the blue "Submit" at the bottom of the page.
