What do you do?

Kaizan is building an AI that enables client teams to deliver best-in-class client management. The beta version of our product enables you to;

  • Auto-generates a system of record from client calls by taking draft notes for the client manager so they can assign and track action items, risks, decisions and opportunities for each client.

  • Insights on what clients say and what their sentiment is from calls with the client team

Why do I need to download a Google Chrome extension?

By downloading our extension it will provide you with an assistant inside your next Google Meet video call. The extension is capturing the transcript of the call (not the audio or the video), and then we use our AI models to understand the dialogue and generate the draft notes for you.

You can then assign these as Actions, Decisions, Risks or Opportunities to be remembered. These are then emailed to you after the call and are also accessible in your Kaizan web app account.

Why do you need permission to my Google account?

We use Google's sign in service for you to create your account so you can log in and out via Google.

Are you recording the video call?

Kaizan isn't recording the audio or the video but is using the captions from the call. We use the captions text to figure out what the draft note should say.

Do I need to tell people I'm using Kaizan in a call?

No, Kaizan isn't recording the audio or the video but is using the captions from the call to produce notes. So when Kaizan takes a note it takes a portion of the dialogue to figure out what the note should be from that portion of text. In the same way if you were to write a note manually based on the dialogue.

What information do you collect?

Within Google Meet we have access to the meeting transcript and store this for 30 days. The output the AI generates is stored in your account. You can delete your account and data at any point.

What information is stored and for how long?

We store your activity for as long as you want them stored in your account, you have the ability to delete your data and account at any time. We store transcripts from calls for 30 days after the call ends, this is in case you edit notes after the call and we can use the adjustments you made to fine-tune your personalised model.

How is my data protected?

Kaizan employees do not have access to the contents of your emails, calendar or meeting transcripts. Kaizan protects user data throughout the data flows of the Kaizan product, from account creation and integration through Google’s OAuth service, to encryption of data in transit to our servers and encryption of that data at rest, to a variety of administrative, physical, and technical safeguards designed to create a secure environment for your data. Modern security practices restrict access to our servers and your data from external threats. In addition, your data can be deleted at any point you wish by contacting us at privacy@kaizan.ai.

Who has access to the data?

The Kaizan team are unable to access your meeting transcripts. Only our machine learning models are able to read your transcripts to produce your notes. The only way to access a transcript is with your approval first, and then two engineers require keys to be used at the same time to gain access. Meaning that no individuals are permitted to access transcripts. Your Personally Identifiable Information (PII) is protected based on GDPR regulations as to how PII is managed, processed and stored.

Am I breaking any NDA's my company may be bound to by using Kaizan?

No, your data isn't accessible to the Kaizan team and you have complete control on what notes you share with your teammates or customers.
