Manage your organisation settings

Organisation settings let admins configure how Kaizan works across the whole team — from your organisation's name and domains to how the AI joins meetings.

Organisation settings let admins configure how Kaizan works across the whole team — from your organisation's name and domains to how the AI joins meetings.

To open organisation settings, select your name in the bottom left of the app and choose Organisation Settings.

General

The General tab shows your organisation's basic information.

To update your organisation's name, edit the Name field and select Save changes.

To manage which email domains can join your organisation, add or remove entries under Domain Names.

Type a domain and press Enter to add it. Select the × next to a domain to remove it. Only users with email addresses from listed domains can join your organisation.

Tiers

Tiers let you group client folders into meaningful categories. All team members can see and filter by tiers on the dashboard.

To add a tier, select + Add tier and give it a name and description. A description helps team members understand which clients belong in each tier.

To edit an existing tier, select the pencil icon on the right. To delete a tier, select the bin icon. Deleting a tier does not delete the client folders assigned to it.

Team members

The Team members tab shows everyone in your organisation's Kaizan workspace. From here you can view active members and remove users who no longer need access.

AI Assistant

The AI Assistant section has two tabs: Identity and Meetings.

Identity

The Identity tab controls how Kaizan AI appears when it joins calls.

  • Kaizan AI name — the name that appears for the AI in meeting participant lists. Update this field to use a custom name for your organisation.

  • Join meeting message — the message the AI sends into the call chat when it joins. Leave this blank if you don't want the AI to send a message.

  • Kaizan AI image — the avatar shown for the AI in meetings. Select Change to upload a new image, or Remove to clear the current one.

When uploading an image, follow these guidelines for the best result:

  • JPEG format, 16:9 ratio, recommended resolution 1280×720

  • Maximum file size 1.3MB — smaller is better

  • Use solid colours and bold fonts at minimum 50px if your image includes text

  • Avoid gradients where possible

  • Design at 2560×1440 then downscale to 1280×720

Select Save changes when done.

Meetings

The Meetings tab sets organisation-wide defaults for when the AI joins calls.

Under Recording settings, turn on Kaizan AI only records audio during meetings if you want to capture audio only, without video. Use the Video Layout dropdown to choose how video is laid out when recording — Gallery View shows all participants.

Under Meeting join settings, turn each meeting type on or off to set the default for all team members:

  • Client meetings

  • Internal meetings

  • Other meetings

Note: These settings are the org-wide default. Individual team members can adjust their own meeting type preferences from their profile, but only within the categories the org has enabled. If a meeting type is turned off here, the AI will not join those calls automatically for anyone.

Select Save changes when done.

Connected apps

The Connected apps tab under Integrations shows which external applications are linked to your Kaizan workspace. Select + Connect to add a new integration, or Disconnect to remove one.
