Your AI assistant settings control how Kaizan's AI behaves for you — which meetings it joins, which platforms it covers, and whether it drafts emails on your behalf. These are personal settings and only affect your own account.
To open your settings, select your name in the bottom left of the app and choose My Profile.
Set up your profile
In the Profile section, confirm your Full name, Timezone, and Job title. Kaizan uses your timezone to schedule your daily prep email and display meeting times correctly.
Configure your meeting assistant
The Kaizan AI section controls how your AI joins meetings.
To enable the meeting assistant, turn on the Meeting assistant toggle. Once enabled, two sets of sub-toggles appear:
Meeting types — choose which categories of meeting your AI joins automatically:
Client meetings — meetings with contacts linked to a client folder
Internal meetings — meetings with colleagues in your organisation
Other meetings — any meetings that don't fall into the above categories
Meeting platforms — choose which video platforms your AI joins:
Google Meet
MS Teams
Zoom
Turn off any meeting type or platform to stop the AI joining those calls automatically. You can still send the AI into individual calls manually even if a category is turned off.
Note: Your organisation's admin can set defaults for meeting types at the org level. If a meeting type is disabled at org level, your AI won't join those calls automatically regardless of your personal setting.
Manage calendar and email sync
The Calendar & email sync section controls how Kaizan connects to your calendar and inbox.
Email sync — when enabled, Kaizan organises incoming emails into the relevant client folders automatically
Calendar sync — when enabled, Kaizan uses your calendar to join calls and handle scheduling
Both are recommended for the full Kaizan experience.
