Kaizan organises all your client communication into folders. Here's how to create a client, supplier, or internal folder and get it configured from the start — including assigning your team.

Kaizan has three folder types:

  • Client folder — for external clients. Calls and emails are assigned automatically based on email domain.

  • Supplier folder — works the same way as a client folder, but categorised separately.

  • Internal folder — for internal projects or strategy work. Calls must be assigned manually, and the folder is only visible to its members.

Create a client or supplier folder

  • Select the + next to My Clients or My Suppliers in the left panel.

  • Enter the folder name, confirm the Folder Type is set to Client Folder or Supplier, then select Next.

  • On the Assignment rules step, type the client's email domain (e.g. acme.com) and press Enter to add it. Select Next.

  • On the Members step, add the team members who own this account. Members receive notifications and recommendations for this folder. Select Next.

  • On the Tiers step, assign a tier if your organisation uses them for grouping and reporting. Select Create folder.

Note: Visibility depends on your organisation's settings. The modal shows whether the folder will be visible to all team members or members only.

Create an internal folder

  • Select the + next to My Folders in the left panel.

  • Enter the folder name, set the Folder Type to Internal Folder, then select Next.

  • The Assignment rules step don't apply to internal folders — select Next to skip.

  • Add Members on the next step. Internal folders are always visible to members only, regardless of your organisation's settings.

  • Add a Tier if needed, then select Create folder.

Important: Calls are never automatically assigned to internal folders. To move calls in manually, read Find and organise your calls.
