Set your default recording preferences
To control which call types Kaizan joins by default:
Select your name in the top right of the app to open My Profile.
Go to the AI tab.
Toggle the Meeting Assistant on or off for each call type: Client calls, Internal calls, and Other meetings.
To restrict which platforms the Meeting Assistant joins, toggle off Teams, Google Meet, or Zoom as needed.
Remove the AI from a specific upcoming meeting
Go to My Calendar in the left panel.
Find the meeting — calls where the AI will join are marked With AI.
Select Remove AI on the right side of that meeting row.
To remove the AI from a recurring meeting series, select this option when prompted and choose to apply it to all future occurrences.
Note: Meetings where the AI has been removed show the label "AI Assistant was previously removed from this event" in the calendar view.
Send the AI to a meeting that isn't in your calendar
If you need Kaizan on an unscheduled call:
Select Send AI to meeting in the top right of the app.
Paste the meeting URL into the field and select Send AI.
If the call is already in progress, the AI will join within around 20 seconds. If it's scheduled for later, it will join at the start time.
Note: AI availability isn't guaranteed for ad-hoc calls. If it doesn't join, try again.
Remove the AI from all calls for a specific client
Open the client folder.
Select the Edit button.
Scroll to Bots join meetings and toggle it off.
Select Submit.
To disconnect your calendar entirely, go to My Profile → Sync and turn off the relevant toggle.
