In Kaizan, there are 3 folder types:
Client
Internal
Supplier
Client and supplier folders have domains assigned to them so that calls and emails are automatically assigned to these folders, whereas internal folders require manual assignment - e.g. users must push calls themselves.
To add a new folder:
Head to "Client/Supplier Dashboard" via the left menu panel.
Click the yellow button in the top right: “Add Folder”.
You will then see the below pop up.
Here, you can name your folder and select the type.
Adding a Client or Supplier Folder
If you select a "Client" or "Supplier" folder, you will be required to enter the email domain of this external party. Therefore, any call or email with someone from that domain will be automatically pulled into this folder.
You can also add Tiers and Members to these folders.
Adding a "Tier" effectively tags the folder so it can be grouped for reporting purposes in Insights Hub or at the Dashboard.
While adding "Members" assigns ownership to the folder, so that users receive specific notifications about this account. To add a "Member", simply type a name in the text box and click on the user.
Members will also be able to access these folders with via the shortcut in the lefthand menu. These folders will appear under the "Client/Suppliers Folders" toggle when clicked.
Depending on your organisation's visibility, adding "Members" to a folder will also provide visibility to the folder. Otherwise, all users will be able to access these folders via the top "Jump to Client" search bar or the left hand menu panel or via the "Client/Suppliers Dashboard".
If you're unsure about your organisation's visibility setting, either contact your account manager or team leader.
Adding an Internal Folder
Adding an internal folder follows the same structure, except a client email domain isn't needed. Therefore, all calls need to be manually moved to these folder areas. You can read more on how to do that here.
You can still add "Tiers" and "Members" to folders in the same way.
However for internal folders, only users with access - i.e. "Members" of the folder - will be able to see calls in this folder, irregardless of your organisation's settings.
See the print under the "Members" box: "Visible to members only".
For users with access, this folder will appear in the lefthand menu panel under the "Internal Folders" toggle.
